Startups are great for multitaskers. The idea of wearing multiple hats seems challenging, but builds lots of experience in a fraction of time. Small, lean teams and focus on traction equals a recipe for success.
To juggle multiple tasks, teams are called to automate all repetitive tasks. Marketing, data analysis, sales funnels, and more. And what makes it possible is the ability to build reports that everyone understands.
In this article we aim to answer one question: Are there any free reporting tools that simplify team communication?
The short answer is yes. Depending on the report you are building, there are tools that export ready made reports that are easy to read by non-technical team members. These keep the team aligned and improve decision-making.
What makes a good reporting tool?
To answer this question we must look at the dynamic of the teams using the tool. In most cases, reporting tools are used to aggregate datapoints so that the team can analyse and draw conclusions. Naturally, most teams comprise of technical and non-technical folk, as well as developers and business users. The free reporting tools you opt for should display data so that everyone in the team can understand and draw insights. The ability of the tool to visualize data clearly is, therefore, very important.
Everyone in the team should also be able to use the tool easily. Hence, a reporting tool without coding requirements is a good thing to look for. Nowadays, with no code and AI tools, this should be relatively easy to filter out.
Besides that, we are not looking for solutions that tackle one specific area of focus. SaaS builders and startups need a good overview for the performance of their product, not analytics for marketing agency performance or sales funnel success. The ability, therefore, to show at least a basic overview of product metrics and how these relate to marketing actions, could prove very helpful.
If there is not a free reporting tool that can do this we can also combine multiple sources of information to create our own dashboard. We will see how this works in practise in the following chapters.
Free digital marketing reporting tools - SEO
If you’re leading growth at an early stage startup you will be aware that budget restrictions call for more creative solution. “How can we do this cheaper?” or “is there a free version of this?” should be the follow-up question for anything related to your job. Good news is there are many options.
First off, let’s talk SEO reporting. Most, if not all tools in the market today have a severely limited free version. SEO managers will usually get a paid tool for this. Yet, reporting can be simpler than that. For SEO, you can take the following actions to build a report:
- For content ranking, simply export the Performance chart and top keyword/page rankings from Google Search Console.
- For backlinks, use Google search operators like: site:https://YourWebsite.com/ “YourAnchorText”. It is also a great way to monitor brand mentions from specific websites.
- For brand mentions, type your brand’s name into Google, wrapping it with in quotation marks like this: “brandname”
The above actions require manual work but are the easiest to start with. You can then explore free trials of tools like SEMRush or Moz, although the above is more than enough for basic SEO reporting.
Traffic, Affiliate marketing, and Paid ads
For traffic analysis, affiliate marketing performance, and user behaviour while on page, Consider using Google Analytics or, for a simpler dashboard, use Plausible.
When it comes to paid ads, the channel you run the ads on will usually have a reporting function that exports data in a way that you can easily analyse and interpret. Meta, Google, and TikTok, for example, are great options for this.
TikTok Shop, a newer branch of the social media platform, is even testing a free reporting tool for influencer marketing, as the business model of the channel relies primarily on commission-based affiliate marketing. We can expect a similar option to become available for Instagram in the future, although currently there are paid tools that do the job.
Free product reporting tool for customer behaviour analysis
Marketing reports usually show the performance of campaigns. Rarely, however, do they show how the campaigns impact product adoption, revenue changes, and customer insights. The product manager will usually need to investigate the impact of campaigns manually, through the database.
Unfortunately, most product managers don’t know SQL, which makes it hard to pull the needed data for cross-examination. Moreover, they might struggle to interpret spreadsheet exports and might therefore search for data visualization tools, or automated data analysis without coding. But all this is unnecessary with the right tool.
TalkBI is one of the best free reporting tools for product managers. The tool connects directly the the client’s database, allowing product managers to “chat” with their database, much like they would talk with an LLM. They can use plain language to request data. The tool converts it to SQL and feeds the query to the database. The exported data is displayed visually, making it easy to interpret for both product and marketing managers.
While TalkBI has paid tiers, early startup teams can simply use the free version, as it provides lots of useful data. You can start using free reporting tools in this way, upgrading your subscription only after your startup grows beyond the tools limits.
Free sales reporting with CRM tools
Sales is one more area where teams need to review performance regularly. Sales reports can be made for free with Customer Relationship Platforms (a.k.a. CRM tools). These log activities that take place within the sales department, and show their effectiveness.
Obviously, every B2B Startup that relies heavily on sales will build a custom mix of channels and outreach approaches. However, this can be manually aggregated into a system that the CRM tracks gives reports on.
Hubspot is the most common option in this category, as its free version tracks calls, meetings, emails, and tasks of each team member. Reports are limited to a handful of metrics, but also come with a leaderboard that indicates sales rep performance.
Freshsales is another great tool and most useful for sales teams that do not visit events in person. The tool is free to use but tracks calls and emails only. With Freshsales you get most features free, but have a limit on available seats. Hence, it is best for small sales teams or an individual who is responsible for all sales tasks.
Finally, Zoho CRM is a versatile reporting tool for sales, as it comes with 40+ pre-built reports. Similar to the other tools on this list, it tracks emails, calls, and events, syncing everything to your Google Calendar. However, it is limited to 3 seats on the free plan, making it great for early-stage startups.
Putting it all together
Besides product development, there are three categories where reporting is most important: Marketing, Product management, and Sales. While most Startups will buy expensive tools to track the performance of their work, there are many free options to consider.
- For SEO, a mix of Google-native tools and search operators
- For paid ads use the tools provided by the ad channels you promote on
- Product performance requires database interactions, for which TalkBI is best
- For sales reporting use Hubspot, Freshsales, or Zoho
We recommend exploring these tools by skimming through their features to see what works best for you. It might also be a good idea to create automations that generate reports on the above on regular basis using agentic AI solutions (for example in the case of SEO).
